Configure your email program
 
After an email account has been created for you on the server, you have to configure your email program to use it (to send and receive email).

There are slight differences between the way Outlook and Outlook Express is configured.  To determine whether you are using Outlook or Outlook Express, open your email program and click on the "Help" main menu item and then "About...".  The version of your software will then be displayed.

A list of common Outlook problems and their error codes are listed below and further down on this page you will find SMTP error codes that are returned when messages "bounce", ie are sent back to the sender as undeliverable.
 

 
Common problems
 
1. Can receive but not send email
If you can login to the server and receive email, but you cannot send email then make sure that the setting "My outgoing server requires authentication" is ticked.

2. Cannot connect to the mail server at all
This means that your computer was not able to "talk" to the mail server.  First make sure that you have internet connectivity (ie you can access web sites) and then make sure that the firewall and/or anti-virus software running on your computer is not preventing access to your mail server.

3. Outlook error codes
Here are a list of Outlook and Outlook Express error codes:

0x800 CCC F4

Your outlook settings may be invalid or a firewall is preventing you from connecting to the remote Mail Server.

0x800 CCC 79

Your SMTP Relay settings are preventing you from sending messages to the Mail Server. You should ensure you have enabled SMTP Authentication.
0x800 421 09 Outlook is unable to connect to your outgoing (SMTP) e-mail server.
0x800 421 0A The operation timed out waiting for a response from the receiving (POP) server. You should establish whether you can telnet to port 110 of your mail server.
0x800 CCC 0F Your mail client is unable to contact your Mail Server, most likely because a firewall is preventing access or the supplied IP Address is incorrect.
0x800 421 0B If you are experiencing this issue, verify that you have installed the service pack for Microsoft Office XP.
0x800 CCC 0D If you are experiencing this issue, verify that you have configured your mail client correctly. You must either specify an IP address or a host name as the mail server when configuring the mail client settings.
0X800 CCC 0E This error means that you are able to connect to the server via POP, but your SMTP Service is either not running or is configured incorrectly.

SMTP error codes
 
When email cannot be delivered to the intended recipient, it is returned to the sender with one of the following SMTP error codes:

 

4.3.1

Out-of-memory or out-of-disk space condition on the Exchange email server. Potentially also means out-of-file handles on IIS.

4.3.2

Message deleted from a queue by the administrator.
4.4.1 / 2 Recipient's email server is experiencing network problems.
4.4.6 Recipient's email address is configured in a loop: maximum hop count for a message has been exceeded. Check the message address, DNS address, and SMTP virtual servers to make sure that nothing is causing the message to loop.
4.4.7 Recipient's email server is not available: Message expired. Message wait time in queue exceeds limit.
5.0.0 Generic message for no route is available to deliver a message or failure.
5.1.1 Recipient could not be resolved. Check the destination addresses and resend the message. Potentially e-mail account no longer exists on the destination server.
5.1.3 Bad address.
5.2.1 Local mail system rejected message, “over size” message. Check the recipient’s limits.
5.2.3 Message too large. Potentially the recipient mailbox is disabled due to exceeding mailbox limit.
5.3.3 The recipient's server has run out of disk space to queue messages, possible SMTP protocol error.
5.4.0 Authoritative host not found. Check message and DNS to ensure proper entry. Potential error in smarthost entry or SMTP name lookup failure.
5.4.4 No route found to next hop. Make sure connectors are configured correctly and address spaces exist for the message type.
5.4.6 Categorizer problems with recipient. Recipient may have alternate recipient specified looping back to self.
5.4.8 Looping condition detected. Server trying to forward the message to itself. Check smarthost configuration, FQDN name, DNS host and MX records, and recipient policies.
5.5.0 Generic SMTP protocol error: most common cause for this is that you are trying to send email without authenticating to the server first.  See the setup instructions on how to set up your email to fix.
5.5.2 SMTP protocol error for receiving out of sequence SMTP protocol command verbs. Possible to low disk space/memory of remote server.
5.5.3 Too many recipients in the message. Reduce number of recipients in message and resend.
5.7.1 Access denied. Sender may not have permission to send message to the recipient. Possible unauthorized SMTP relay attempt from SMTP client.
